List relevant events from earliest to latest. For each event, record the date, what happened, who was involved and the supporting evidence reference. Keep the description factual. Mark uncertain dates as approximate and distinguish your notes from documents created at the time.
What belongs in a complaint chronology?
A chronology is the sequence behind your complaint, not another version of the entire letter. Include the original transaction or agreement, the problem, the first report, important replies, promised actions and later follow-ups. Leave out events that do not help explain the disputed points.

Fictional complaint timeline example
This example is invented to demonstrate structure. It does not establish refund rights, a response deadline or a successful outcome. Your timeline should contain only your own actual events and records.
- 3 August 2026 — Ordered a desk for £180. A1: order confirmation.
- 8 August 2026 — Desk delivered with a cracked leg. A2: dated photographs; A3: delivery record.
- 9 August 2026 — Emailed the retailer to report the damage and request a remedy. A4: sent email.
- 12 August 2026 — Retailer acknowledged the complaint and promised an update. A5: reply.
- 20 August 2026 — Sent a follow-up because no further update had arrived. A6: follow-up email.
Connect the timeline to the evidence index
Use the same reference beside an event and beside its supporting file. For example, A4 should identify the same email in both places. One document may support several events; refer to the relevant page or message where useful.
A useful filename might be A4-complaint-email-2026-08-09.pdf. Keep the original file separately and check that any converted copy preserves the sender, date and full relevant message. File names alone do not prove what happened.
What if dates or records are missing?
Write “approximately early August” if that is genuinely all you remember. Do not select a precise date simply to fill a form. If a call has no recording or written confirmation, describe it as your recollection and state when you made the note.
Separate conflicting accounts rather than silently choosing one. For example: “My note records 10 August; the company’s reply refers to 11 August.” The recipient can then see the uncertainty.
Keep one continuing record
Add later responses in date order and keep a dated copy of each version you submit. If a new reply answers one point but leaves another open, record both accurately. Do not rewrite an earlier event to make it fit the later response.

No. The letter explains the complaint and requested outcome; the timeline gives the dated sequence. An evidence index tells the reader where to find the supporting records.
How many events should I include?
Include enough to explain the relevant sequence without repeating routine messages. There is no fixed number required by this guide.
